Convoy Procedure
All participants should make themselves familiar with the clubs standard convoy procedure, the main points of which are: listen to and observe instructions given by the trip leader, respect the environment (remember ‘Tread lightly’), leave gates as you find them and ensure the vehicle following you knows which direction you are taking (especially at intersections & track junctions)

When travelling with the club, you will be travelling in convoy. A trip leader MAY ELECT to differ from the following protocols for safety reasons, or to maximise control and communication. Unless the Trip Leader dictate otherwise, these CONVOY PROCEDURES will be followed at ALL TIMES:

The Trip Leader will lead the convoy and will make all drivers aware of their position in the convoy before leaving. The Trip Leader will designate the last vehicle (Tail End Charlie), and no vehicle is to travel behind it. Maintain your position in the convoy AT ALL TIMES. Remember the vehicle in front of and behind you and ensure that you retain this position.

Communications during the trip will be by RADIO (usually on 13 channel), however convoy procedure can be followed regardless of the ability to communicate by radio.

EACH VEHICLE is responsible for the vehicle DIRECTLY behind them in the convoy. As much as possible, keep this vehicle in sight. If you feel that you have not seen this vehicle for a reasonable time, STOP and wait for the vehicle to catch up. Advise the Trip Leader you have done so. By definition, a convoy will only travel as fast as the SLOWEST vehicle.

The LEADER of the convoy will announce all track deviations and turns by RADIO. The

LAST VEHICLE in the convoy (Tail End Charlie) will announce when they make a turn that the Leader has called to acknowledge that the convoy has complied.

STOP and wait before EVERY intersection prior to making a turn if it is safe to do so, indicating the direction in which you will be turning. If it is not safe to stop before the intersection, make the turn but stop at the side of the road after, keeping the intersection in sight to ensure that the following car executes the turn.

DO NOT move off from the intersection until the vehicle behind you indicates that they have seen you by using their indicator. They will then wait for the next vehicle in the same manner. This is VERY IMPORTANT to ensure all vehicles proceed in the correct direction.

If the vehicle ahead of you stops for ANY REASON, including a “call of nature”, you will stop and wait behind them at a REASONABLE AND SAFE DISTANCE, respecting privacy, until they are ready to proceed. The LEADER will be informed of any stops that occur and should also stop the rest of the convoy where safe to do so. Once ready to proceed, the lead vehicle of those stopped will announce that they are proceeding.

LEAVE GATES AS YOU FIND THEM. The trip leader will announce any gates that are passed and the state that it is found in (open or closed) and instruct Tail End Charlie on how to leave this gate.

It is the responsibility of each driver to ensure the PREVIOUS vehicle has CLEARED an obstacle before proceeding themselves. (for example, only one vehicle at a time in a river crossing, mud hole or steep section of a hill)

If for ANY REASON you need to deviate from or leave the convoy, you MUST INFORM THE TRIP LEADER and ENSURE that they acknowledge this information. The vehicles immediately in front of and behind you should also be informed. No vehicle in the convoy shall be behind Tail End Charlie.
